Exempt Secretary to the Executive Director of Human Resources

Position Details: 

Description: This is a 12-month exempt position which will support all phases of Human Resource Office responsibilities. This position will report to and be supervised by the Executive Director of Human Resources. This position will have up to a one-year probationary period, depending on previous experience in a Human Resources environment.

Job Purpose: As a member of this team, you assist all areas of the human resources function including, benefits, employee relations, and special projects with a primary focus on maintaining the recruitment, on-boarding, off-boarding, and contractual records.   As the first point of contact for employees and external guests, you will also provide a high level of service by assisting in the smooth, orderly and efficient flow of information as needed.

Primary (Essential) Duties

  • Assist in hiring process by coordinating job posting on various websites, reviewing resumes, interviewing candidates electronically or in person.
  • Process all administrative aspects of recruiting and on-boarding to include distributing and reviewing employment applications, background/drug test screening, and new hire paperwork.
  • Process employee transactions using the on-boarding, evaluation, and off-boarding systems.
  • Scan and upload new hire paperwork and other documents to employee’s electronic files.
  • Provide administrative support for the HR team to include, but not limited to: answering phone, filing, scheduling meetings/conferences rooms, mail sorting, ordering supplies and maintaining department records.
  • Process all applicable certification and staffing reports as required by the State of Michigan.  
  • Assist with collective bargaining scripting, records, and all related collective bargaining issues.
  • Answer general questions regarding HR policies, procedures and events.
  • Assist with other special projects and task as assigned.
    Knowledge, Skills, Abilities
  • Proficient in Google Suite and Microsoft Office products including Word, Excel, PowerPoint
  • Demonstrate excellent verbal and written communication skills
  • Ability to comfortably and effectively interact with all levels of management and staff as well as outside clients and vendors
  • Ability to work independently or in a team environment
  • Understand confidentiality principles and basic business relationships
  • Ability to work under pressure and meet deadlines
    Experience/Education Requirements
  • Related Bachelor’s degree
  • A Minimum of 2-5 years HR administrative or related experience preferred
  • Project coordination experience and events coordination experience
  • Working Conditions and Physical Demands

    Traditional business hours with some evening flex/overtime to meet operational needs
