Position Details: 

CLASSIFICATION:                   Executive Secretary to Assistant Superintendent of Instruction, Category 0; 52 week position  

LOCATION:                              Administration Office

PAY RATE:                                Per Master Contract; Step 1 - $17.59/hour

                                                  May earn an additional .35 cents / hour premium with an associate’s degree or higher education approved certification in an area that would enhance the ability                                                       to perform assigned duties

IMMEDIATE SUPERVISOR:    Assistant Superintendent of Instruction


HOURS OF WORK:                 Monday through Friday; 7:30 a.m. – 4:00 p.m.; (1/2 hr. .unpaid lunch)


START DATE:                          Immediately


QUALIFICATIONS:   Prefer someone with a Bachelor’s degree in Business Administration, Education, or a related field. Must have a high school diploma or equivalent with a minimum of 5 years secretarial/office management experience. The individual must be proficient in Microsoft Suite (Excel, Word, etc.) and maintaining databases, have the ability to learn and utilize software programs, and possess excellent proofreading skills. Must have the ability to develop effective working relationships with students, staff and the school community; have the ability to communicate clearly, concisely and pleasantly both orally and in writing; have the ability to multi-task; and have the ability to perform duties with awareness of all District requirements and Board of Education policies. Must be able to comply with all student/staff/parent/business confidentiality issues. 


RESPONSIBILITIES INCLUDE BUT ARE NOT LIMITED TO:   Serves as the confidential executive secretary to the Assistant Superintendent of Instruction contributing to the efficient operation of the curriculum department as part of the education process.

Coordinates: textbook purchases and distribution; the ordering and shipment of materials for state testing; and monitoring of online state testing with the technology department; the completion of the Elementary Handbook, Kindergarten Handbook, Mentor/Mentee handbook and the Annual Education Report; information regarding SCECH’s; Tuition Reimbursements and Conference Requests including registering staff for off-campus PD and making travel arrangements, as necessary. Assists with proofreading district communications Occasional out-of-office errands may be necessary for obtaining supplies.

Maintains: the department calendar; student records and materials for state testing including demographic information and a tested roster; administration office meeting rooms including coordination of food service, room set-up and/or technology needs; and adequate supplies for all instructional materials such as texts, report cards, forms, etc.; accurate curriculum files and distributes curriculum materials; records for committee meetings including agendas, attendance, and minutes; the Curriculum Department and Parent page on the district website.


PHYSICAL ENVIRONMENT:  To perform the essential functions of the job, the following applies: sitting, talking, hearing, standing, walking, typing, writing,   Frequent/constant interruptions to work assignments.   The employee will be continually interacting with staff, and the public.  May be exposed to public illness, bodily fluids, paper dust normally found in a school administrative office.
